Privacy Policy

Last Updated: October 30, 2026

This Privacy Policy describes how Air Prompter LLC ("Air Prompter," "AirPrompter," "we," "our," or "us") collects, uses, discloses, and otherwise processes information about individuals in connection with our websites, hosted software, APIs, integrations, downloadable tools, documentation, and related products and services made available at https://airprompter.com, https://www.airprompter.com, and any affiliated websites or properties owned or operated by Air Prompter LLC where this Privacy Policy is posted (collectively, the "Sites"), as well as our products and services for AI services and workflows for AI prompts, including prompt libraries, templates, automations, workflows, APIs, integrations, tools, documentation, downloadable software, and related functionality (collectively, the "Services").

This Privacy Policy applies to visitors to the Sites, individual users of the Services, business customers, prospective customers, and representatives of organizations that use the Services.

This Privacy Policy is incorporated by reference into our Terms of Service and, where applicable, our Master Subscription Agreement. Your use of the Services is also subject to our Acceptable Use Policy. In the event of a conflict between this Privacy Policy and a signed order form, data processing addendum, or other executed agreement, the executed agreement will control to the extent of the conflict.

1. Scope and Key Definitions

For consistency with our Terms of Service and Master Subscription Agreement:

  • "Services" means AirPrompter and related hosted services, AI features, APIs, software components, support, and professional services we make available.
  • "Customer Data" generally means information, data, content, records, files, prompts, prompt variables, instructions, documents, images, audio, video, workflow configurations, and related materials submitted, uploaded to, transmitted through, generated through use of, or otherwise made available by or on behalf of a customer or its permitted users in connection with the Services.
  • "Your Content" generally refers to prompts, inputs, instructions, files, images, text, data, templates, workflows, outputs you publish or share, and other content you submit to, store on, generate through, or distribute using the Services.
  • "Usage Data" means de-identified, aggregated, statistical, technical, or operational data relating to the performance, operation, support, and use of the Services, provided that such data does not identify a customer, permitted user, or natural person as the source.
  • "Personal Data" means information relating to an identified or identifiable natural person, or similar concepts such as "personal information" under applicable law.

Where we process Customer Data on behalf of a business customer, we may act as a processor or service provider under applicable privacy law. Where we process personal information for our own business operations—such as account administration, billing, security, analytics, product improvement using Usage Data, and marketing—we generally act as a controller or business.

2. Information We Collect

We collect information from a variety of sources depending on how you interact with the Sites and Services.

2.1 Information You Provide Directly

We may collect information you provide directly to us, including:

  • Account and profile information, such as your name, email address, username, password, company name, job title, profile image, phone number, billing address, and account preferences.
  • Organization and workspace information, such as team, workspace, administrator, seat, domain association, and account ownership details.
  • Payment and transaction information, such as billing contact details, subscription information, purchase history, and limited payment-related data. Payment card information is typically processed by our payment processors and not stored in full by us except as necessary for records, fraud prevention, or billing administration.
  • Customer Data / Your Content, such as prompts, prompt variables, instructions, files, documents, text, images, audio, video, workflow configurations, outputs, templates, automations, metadata, and other materials submitted to or generated through the Services.
  • Communications, such as information you provide when you contact support, request a demo, complete a form, participate in surveys, attend events or webinars, engage with sales, or otherwise communicate with us.
  • SMS and mobile messaging information, such as your mobile phone number, text-message opt-in status, consent records, message content you send to us, and related delivery, response, and support information when you contact us or choose to communicate with us by text message.
  • Professional services information, such as project requirements, onboarding materials, configuration preferences, implementation details, and feedback shared in connection with support or professional services.
  • Marketing and preference information, such as your newsletter preferences, event registrations, and communication choices.

2.2 Information We Collect Automatically

When you access or use the Sites or Services, we and our service providers may automatically collect certain information, such as:

  • IP address
  • browser type and settings
  • device identifiers
  • operating system
  • mobile carrier and device type, where applicable
  • pages viewed and links clicked
  • referring URLs
  • dates and times of access
  • log files and error reports
  • API calls and usage patterns
  • session, interaction, and performance data
  • approximate geolocation derived from IP address
  • security and authentication events

We may use cookies, pixels, local storage, SDKs, web beacons, session identifiers, and similar technologies to collect this information. Our emails may also contain technologies that tell us whether an email was opened and which links were clicked. For more information, see the Cookies, Advertising, and Similar Technologies section below.

2.3 Browser Extension, Plugins, and Connected AI Tools

If you install our browser extension, it accesses the pages of the supported sites listed in its store listing only to provide the features you use, such as inserting a saved prompt into a site, running a workflow across steps, or pasting text you choose. When you use those features, the extension may process the text you insert or paste and, when you run a workflow, the responses that the workflow passes from one step to the next. The extension stores your settings locally on your device and sends information to us only as needed to provide its features to your Account.

If you connect an AI assistant or other tool to the Services, for example through a connector, plugin, or API key, we receive the requests that tool sends on your behalf, such as requests to find, run, create, or update your prompts and workflows, and we return the content needed to fulfill them. The provider of that tool also receives that content under its own terms and privacy policy.

We use information collected through the browser extension, plugins, and connectors only to provide and improve the features you use, to keep them secure, and to comply with law. We do not sell it, use it for advertising, or use it to determine creditworthiness or for lending purposes, and we do not allow humans to read it except with your permission, for security or abuse investigations, to comply with law, or as part of aggregated, de-identified operations.

2.4 Information from Third Parties

We may receive information from third parties, including:

  • identity and single sign-on providers;
  • payment processors;
  • analytics providers;
  • hosting, cloud infrastructure, and support vendors;
  • integration partners you choose to connect to the Services;
  • resellers, referral partners, and channel partners;
  • publicly available sources such as company websites or professional profiles; and
  • sales and marketing data providers, where permitted by law.

If you choose to connect a third-party integration or authenticate through a third-party service, we may receive information necessary to enable that connection, such as your account identifier, token, profile information, or data you authorize the integration to access.

2.5 Information Collected Through Organizations

If you use the Services through an Organization, workspace, or account administered by your employer or another entity, that Organization may provide us with information about you, and administrators may be able to access or manage information associated with your account, subject to applicable law and our agreements with that Organization.

3. Customer Data, Your Content, and AI Features

We recognize that Customer Data and Your Content may contain sensitive or confidential information. Our handling of such data is subject to this Privacy Policy, our contractual commitments, and any applicable data processing addendum.

3.1 How We Use Customer Data and Your Content

Except as otherwise permitted by our agreements or required by law, we may access, use, preserve, and disclose Customer Data and Your Content only as reasonably necessary to:

  • provide, operate, maintain, secure, and support the Services;
  • authenticate users and administer accounts;
  • process prompts, inputs, workflows, and outputs requested through the Services;
  • prevent abuse, fraud, misuse, or violations of our Terms of Service, Acceptable Use Policy, or other agreements;
  • troubleshoot, debug, and resolve technical issues;
  • provide customer support, onboarding, or professional services, including where you request assistance;
  • comply with applicable law, legal process, or enforceable governmental requests;
  • protect the rights, safety, and property of you, us, our users, and others; and
  • investigate suspected violations of law or our policies.

We may also analyze metadata and service-level information related to Customer Data and Your Content, such as file sizes, volumes, timestamps, API activity, feature usage, access logs, and performance metrics.

Some AI Features, such as checks, evaluations, and suggestions, send the relevant portions of your content to third-party AI model or cloud providers that process it on our behalf to return a result. We engage those providers under terms that restrict their use of that content to providing the service to us.

3.2 AI Training Restriction

We do not use Customer Data or Your Content to train general-purpose AI models without your consent.

This means that, unless you expressly agree otherwise in writing or through a clearly disclosed product feature or program, we will not use Customer Data or Your Content submitted through the Services to train foundation models or general-purpose machine learning models intended for use across customers or the general public.

Nothing in this section restricts us from:

  • using Customer Data and Your Content to provide the Services you request;
  • using service providers or subprocessors to process Customer Data on our behalf to provide the Services, subject to appropriate contractual protections;
  • using de-identified and aggregated Usage Data that does not identify you, your Organization, or any natural person;
  • using limited human review when necessary for support, safety, abuse prevention, security, legal compliance, or product functionality you request; or
  • using feedback you voluntarily provide to improve our products and services, provided we do not use Customer Data to train general-purpose AI models without consent.

3.3 Responsibility for Content

You remain responsible for the legality, accuracy, and appropriateness of Customer Data and Your Content you or your Organization submit through the Services. As stated in our Acceptable Use Policy, you bear sole responsibility for illegal content you post, submit, store, generate, transmit, or otherwise make available through the Services. We may, but are not obligated to, monitor content or investigate suspected violations.

3.4 Public, Shared, and Collaborative Features

If you use features that allow you to share prompts, templates, workflows, outputs, libraries, or other content with other users, collaborators, your Organization, or the public, any information you choose to make available through those features may be visible to the intended recipients. Please use caution when sharing personal or sensitive information.

3.5 Ratings on Assurance Results

If you use our assurance features, you may choose to rate a result produced by our checks, and you may select a reason. Providing a rating is optional.

When you rate a result, we collect your rating and any reason you select, when you provided it, your role and your relationship to the content you rated (such as whether you authored it), the context in which you provided it, information about the account or subscription under which you provided it, and information about the result you rated, such as the check, finding, and assessment it relates to.

We use ratings to provide the rating feature, such as showing you your own ratings, and, in pseudonymized form, to evaluate and improve the accuracy of our checks across our customer base.

The data we analyze is associated with pseudonymous identifiers rather than your name, email address, or account identifier, and we keep the information that associates those identifiers with your account separately. We may associate ratings you provide across the different Organizations and workspaces in which you use the Services with one another, using pseudonymous identifiers, to assess the reliability of feedback. We do not include the content of your prompts in the data we use to evaluate and improve our checks.

A rating does not change the result you rated, and we do not use ratings to make decisions about your account, access, or plan. Other users of the Services, including administrators of your Organization, do not see your individual ratings. Any view of ratings we offer to others shows only aggregated results that are not attributed to you.

We retain ratings and related information for no longer than five years after a rating is provided, except for residual backup or archived copies, and copies restored from them for recovery, which are kept for a limited period, as described in the Data Retention section. Aggregated results that do not include individual ratings may be retained longer. The information that associates pseudonymous identifiers with your account is not subject to this period; it is retained while your account is active, unless it is deleted earlier.

If your account is deleted, we delete the ratings associated with your account or disassociate them from your account and from your ratings in other Organizations; disassociated, pseudonymized ratings may be retained for the remainder of the retention period described above. Deletion may not be immediate, and residual copies may remain in backups for a limited period, as described in the Data Retention section.

4.6 With Your Consent or Direction

We may process information for other purposes disclosed to you at the time of collection or with your consent.

5. Cookies, Advertising, and Similar Technologies

We use cookies and similar technologies to operate the Sites and Services, remember preferences, maintain sessions, measure usage, improve performance, and support security.

We also work with advertising and analytics partners, such as social media and search advertising platforms, that use cookies, pixels, and similar technologies on our Sites to collect information about your browser or device and your interactions with the Sites, such as pages viewed and actions taken. When you take certain actions, such as creating an account, starting a trial, or making a purchase, we may also send those partners limited information about that action, such as an event identifier, a hashed (encoded) version of your email address, your IP address, and browser information, so they can measure and improve the effectiveness of our advertising. These partners may combine this information with other information they hold about you and may use it under their own privacy policies.

The types of technologies we may use include:

  • Strictly necessary cookies for authentication, security, and core functionality;
  • Preference cookies to remember settings and choices;
  • Analytics cookies to understand how users interact with the Sites and Services; and
  • Advertising cookies and pixels to measure our advertising campaigns and show our ads to people who may be interested in the Services.

You may be able to control cookies through your browser settings, device settings, or any cookie banner or preference center we make available. Blocking some cookies may affect the functionality of the Sites or Services.

Where required by law, we will obtain consent before using non-essential cookies or similar technologies.

Your Privacy Choices. You can turn off advertising cookies and pixels, and the disclosures to advertising partners described in this section, at any time using the Your Privacy Choices link in the footer of our Sites. Your choice applies to the browser you are using and, if you are signed in, to your account.

Visitors in the EEA, United Kingdom, and Switzerland. If you are located in the European Economic Area, the United Kingdom, or Switzerland, we do not use advertising cookies or pixels on our Sites unless you accept them through the cookie banner, and we do not send advertising partners information about a trial or purchase you start on our Sites unless you have accepted them. You may withdraw your consent at any time through the Your Privacy Choices link.

Global Privacy Control. We treat a Global Privacy Control (GPC) signal sent by your browser as a request to opt out of the sale or sharing of your personal information and of targeted advertising. We apply it to that browser and, if you are signed in, to your account.

6. How We Disclose Information

We may disclose information as follows:

6.1 Service Providers and Subprocessors

We may disclose information to vendors, contractors, service providers, and subprocessors that help us provide the Sites and Services, such as providers of:

  • hosting and cloud infrastructure;
  • AI model and inference services;

We do not sell, rent, or share mobile phone numbers, SMS opt-in data, or SMS consent with third parties or affiliates for marketing or promotional purposes.

We may disclose mobile messaging information to service providers that help us deliver, support, secure, or manage text messaging services, but only as necessary for them to provide those services to us.

To be clear: No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. All other categories described in this Privacy Policy exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

6.3 Within Organizations and Workspaces

If you use the Services through an Organization, team, or managed workspace, we may disclose account, usage, and content-related information to the Organization and its designated administrators as necessary to provide the Services, administer the account, enforce organizational policies, and facilitate collaboration.

6.4 Integrations and Third Parties You Authorize

If you enable a third-party integration, connect an external account, or direct us to share information with a third party, we may disclose information as necessary to fulfill your request. Your use of third-party services is subject to those third parties' terms and privacy practices.

6.5 Advertising and Analytics Partners

We disclose information to advertising and analytics partners as described in the Cookies, Advertising, and Similar Technologies section. We do not disclose the content of your prompts, workflows, or other Customer Data to advertising partners.

6.6 Legal, Safety, and Enforcement Disclosures

We may disclose information if we believe in good faith that doing so is necessary or appropriate to:

  • comply with applicable law, regulation, legal process, or enforceable governmental request;
  • respond to subpoenas, court orders, or lawful investigations;
  • enforce our Terms of Service, MSA, AUP, or other agreements;
  • investigate suspected fraud, abuse, security incidents, illegal conduct, or policy violations;

6.8 Affiliates and Advisors

We may disclose information to our affiliates and professional advisors, such as lawyers, accountants, auditors, insurers, and consultants, where necessary for lawful business purposes.

This section does not permit us to share text messaging originator opt-in data or consent with affiliates for marketing or promotional purposes.

6.9 De-Identified and Aggregated Information

We may disclose de-identified, anonymized, or aggregated Usage Data that does not identify you, your Organization, or any natural person.

7. Sale of Personal Information and Targeted Advertising

We do not sell personal information for money, and we do not disclose Customer Data, the content of your prompts or workflows, or information collected through our browser extension, plugins, or connectors to advertising partners.

We also do not sell or share mobile phone numbers, SMS opt-in data, or SMS consent with third parties or affiliates for marketing or promotional purposes.

We also do not use Customer Data or Your Content to train general-purpose AI models without consent.

Our use of advertising partners described in the Cookies, Advertising, and Similar Technologies section may be considered a "sale" of personal information, "sharing" for cross-context behavioral advertising, or "targeted advertising" under the privacy laws of California and certain other U.S. states. You have the right to opt out of that processing, including through the Your Privacy Choices link on our Sites or a Global Privacy Control signal, as described in the Cookies, Advertising, and Similar Technologies section above and the Your Rights and Choices section below.

8. Data Retention

We retain personal information for as long as reasonably necessary for the purposes described in this Privacy Policy, including to provide the Services, comply with legal obligations, resolve disputes, enforce agreements, maintain security, and support legitimate business operations.

Retention periods vary depending on the type of information, the nature of our relationship with you, and applicable law. In general:

  • Account information is retained while your account is active and for a reasonable period thereafter.
  • Customer Data and Your Content are retained in accordance with applicable contracts, product settings, and customer instructions, including any applicable data processing addendum.
  • Support records, billing records, and audit logs may be retained as needed for compliance, security, dispute resolution, fraud prevention, and business recordkeeping.
  • Usage Data may be retained longer if de-identified or aggregated.
  • Ratings on assurance results are retained as described in the Ratings on Assurance Results subsection above.
  • Backups and archived copies may persist for a limited period after deletion from active systems.

If your account is terminated or your subscription ends, we may delete or de-identify Customer Data in accordance with our agreements, standard retention schedules, backup processes, and legal obligations. We may retain information where necessary for legal holds, dispute resolution, fraud prevention, tax/accounting requirements, security investigations, or to comply with applicable law.

Deletion from active systems may not be immediate, and residual copies may remain in backups or logs for a limited period.

9. Security

We use reasonable administrative, technical, and organizational measures designed to protect personal information and Customer Data against unauthorized access, loss, misuse, alteration, and disclosure. These measures may include access controls, encryption in transit, logging, monitoring, vendor management, and role-based restrictions.

However, no method of transmission over the internet or method of storage is completely secure, and we cannot guarantee absolute security.

You are responsible for:

  • maintaining the confidentiality of your credentials;
  • restricting access to your devices and accounts;
  • using appropriate permissions and sharing controls;
  • notifying us promptly of suspected unauthorized access or security incidents at support@airprompter.com.

If we become aware of a confirmed Security Incident affecting Customer Data in our possession or control, we will respond in accordance with applicable law and our contractual obligations.

10. Your Rights and Choices

Depending on where you live and the context in which we process your information, you may have certain rights and choices regarding your personal information.

10.1 Account Information

You may access, update, or correct certain account information through your account settings or by contacting us. Organization-managed accounts may need to be updated through your administrator.

10.2 Marketing Communications

You may opt out of marketing emails by clicking the unsubscribe link in those messages or by contacting support@airprompter.com or legal@airprompter.com. Even if you opt out of marketing, we may still send you service-related and transactional messages.

For text messages, you may reply STOP to unsubscribe or HELP for support. We may still send non-marketing messages where permitted by law, such as responses to your direct requests or messages necessary to provide the Services.

10.3 Customer Data and Your Content

You may be able to access, modify, export, or delete Customer Data and Your Content through the Services, subject to product functionality, your role, and your Organization's controls. If we process your information on behalf of a business customer, we may direct you to that customer to exercise your rights.

10.4 Privacy Rights

Subject to applicable law, you may have the right to:

  • know whether we process your personal information;
  • access or obtain a copy of your personal information;
  • correct inaccurate personal information;
  • delete personal information;
  • restrict or object to certain processing;
  • withdraw consent where processing is based on consent;
  • request portability of certain personal information;
  • opt out of targeted advertising, profiling, or certain sharing, where applicable; and
  • appeal a denial of your request, where applicable.

We may need to verify your identity before processing your request. We may also deny or limit requests where permitted by law, such as where we cannot verify your identity, the request is excessive, the information is subject to legal privilege, or fulfilling the request would interfere with the rights of others or our legal obligations.

To exercise privacy rights, please contact us at:

  • legal@airprompter.com
  • support@airprompter.com

You may also write "Privacy Rights Request" in the subject line and describe your request and jurisdiction.

We will not discriminate against you for exercising applicable privacy rights, although exercising certain rights may limit our ability to provide some Services.

11. International Transfers

Air Prompter LLC is based in the United States, and we and our service providers may process information in the United States and other countries where we or our vendors operate.

Those countries may have data protection laws different from those in your jurisdiction. Where required by law, we will use appropriate safeguards for international transfers of Personal Data, such as standard contractual clauses, adequacy decisions, or other lawful transfer mechanisms.

To request more information about international transfer safeguards, contact legal@airprompter.com.

12. Children

The Services are not directed to children under 16, and we do not knowingly collect personal information directly from children under 16 without appropriate authorization where required by law. If we learn that we have collected personal information from a child in violation of applicable law, we will take reasonable steps to delete it.

If you believe a child has provided us with personal information in violation of this Policy, please contact legal@airprompter.com.

13. Jurisdiction-Specific Disclosures

13.1 EEA, UK, and Switzerland

If you are located in the European Economic Area, United Kingdom, or Switzerland, the following additional disclosures apply.

Controller / Processor Roles

When we process personal data for our own business purposes, such as account administration, billing, security, analytics, and direct communications, Air Prompter LLC generally acts as a controller.

When we process Customer Data on behalf of a customer under the Services, we generally act as a processor, and the relevant customer is the controller. In those cases, you should direct requests relating to Customer Data to the relevant customer, though we may assist as required by law or contract.

When we use ratings on assurance results to evaluate and improve our checks, including associating ratings across Organizations to assess the reliability of feedback, as described in the Ratings on Assurance Results subsection, Air Prompter LLC acts as an independent controller, even where the ratings are provided in connection with a customer's use of the Services. You may direct requests relating to that processing to us.

Legal Bases for Processing

We process personal data on one or more of the following legal bases, as applicable:

  • performance of a contract;
  • compliance with legal obligations;
  • our legitimate interests, such as providing secure and effective Services, preventing fraud and abuse, improving the Services, and communicating with customers;
  • your consent; and
  • other lawful bases recognized under applicable law.

Your Rights

You may have the right to:

  • access your personal data;
  • rectify inaccurate personal data;
  • erase personal data;
  • restrict processing;
  • object to processing;
  • receive portability of certain personal data; and
  • withdraw consent where processing is based on consent.

You also have the right to lodge a complaint with your local supervisory authority.

13.2 California and Other U.S. State Privacy Laws

Residents of California and certain other U.S. states may have rights under applicable privacy laws, including rights to access, correct, delete, and obtain a copy of certain personal information, and to opt out of certain uses such as targeted advertising or profiling where applicable.

Categories of Personal Information We May Collect

Depending on your use of the Sites and Services, we may collect the following categories of personal information:

  • identifiers, such as name, email address, IP address, account ID, and business contact information;
  • customer records, such as billing information, subscription history, and account details;

Purposes

We collect and use these categories for the purposes described in this Privacy Policy, including providing the Services, support, billing, security, analytics, product improvement, communications, compliance, and enforcement.

Disclosure

We may disclose these categories to service providers, contractors, subprocessors, affiliates, advisors, organizational administrators, integration partners you authorize, and parties involved in legal compliance or business transfers, as described above. We disclose identifiers and internet or network activity information to advertising and analytics partners as described in the Cookies, Advertising, and Similar Technologies section.

Sales / Sharing / Targeted Advertising

We do not sell personal information for money. In the preceding 12 months, we have disclosed identifiers and internet or network activity information to advertising and analytics partners in ways that may be considered a "sale" or "sharing" under California law, for the purpose of measuring and improving our advertising. We do not knowingly sell or share the personal information of individuals under 16.

To opt out of the sale or sharing of your personal information, or of targeted advertising, use the Your Privacy Choices link in the footer of our Sites, turn on a Global Privacy Control signal in your browser, or email legal@airprompter.com with the subject line "Do Not Sell or Share." When you opt out through the link or a Global Privacy Control signal while signed in, we apply your choice to your account; otherwise it applies to the browser you used, so you may need to opt out again on other browsers or devices, or after clearing your cookies or browser storage. You can also block or delete advertising cookies through your browser or device settings.

We use sensitive personal information only for purposes that do not give rise to a right to limit its use under California law, such as providing the Services, maintaining security, and preventing fraud.

Rights Requests

To submit a request, email legal@airprompter.com with the subject line "Privacy Rights Request" and identify your state of residence. We may verify your identity before responding. Authorized agents may submit requests where permitted by law, subject to verification and proof of authorization.

If we deny a request where an appeal right applies, we will provide instructions for appeal.

Non-Discrimination

We will not discriminate against you for exercising rights provided by applicable privacy law, although some features may no longer function if certain data is deleted or restricted.

13.3 Nevada

Nevada residents may request to opt out of the future sale of certain covered information under Nevada law. Although we do not currently sell covered information, Nevada residents may submit such requests to legal@airprompter.com.

13.4 Canada and Other Jurisdictions

If you are located in Canada or another jurisdiction with applicable privacy rights, you may have rights to access and correct personal information and, where applicable, withdraw consent to certain processing. Contact legal@airprompter.com for requests.

14. Third-Party Services and Links

The Sites and Services may contain links to third-party websites, integrations, plug-ins, or services. This Privacy Policy does not apply to third-party sites or services, and we are not responsible for their privacy practices.
